Managing Properties, Units, and Bulk Import
Every application, lease, listing, and maintenance request in VerticalRent hangs off a property and unit. Here's how to set them up — one at a time or in bulk — and what each field, photo, and status actually controls.
Properties vs. units
A property is the building or address; a unit is the thing you actually rent out. A single-family rental is a property with one unit and no unit number. A duplex, triplex, or apartment building is one property with several units, each with its own bedrooms, rent, status, and lease. Everything else in VerticalRent — leases, applications, listings, maintenance, rent payments — is tied to a specific unit.
Adding a property
From Properties, click Add Property and fill in:
- Property Photo (optional) — shown as the card banner on your Properties page
- Property Name — e.g. "Maple Street Duplex" or just the street address
- Property Type — Single Family Home, Multi-Family / Duplex / Triplex, Condominium, Townhouse, or Commercial
- Street Address — has autocomplete; picking a suggestion auto-fills city, state, ZIP, and county for you
- City, ZIP Code (must be exactly 5 digits), and State — all required
- County (optional) and Year Built (optional, must be between 1800 and the current year)
Once saved, VerticalRent geocodes the ZIP code in the background so the property can appear correctly on maps and distance-based search.
Uploading a property photo
Click or drag an image onto the photo banner on a property card, or use the photo uploader on the Add Property form (JPG, PNG, or WebP, up to 10 MB). Photos are compressed in your browser before upload, so large phone photos still upload quickly. Hover an existing photo to change or remove it — removing it just clears the property's cover image, it doesn't delete anything else.
Editing or archiving a property
Open a property and click Edit to update its name, address, type, year built, or photo. Click Archive to remove it from your active portfolio — VerticalRent will not let you archive a property while any of its units has an active or pending-signature lease; end or resolve those first. Archiving a property archives all of its non-archived units at the same time. Archived properties and units are hidden from your lists, but all historical leases, payments, and screening records are preserved, not deleted.
Adding a unit
From a property, click Add Unit and fill in:
- Unit Number / Label (optional) — leave blank for single-family homes with only one unit
- Bedrooms (1–10) and Bathrooms (1 to 4+, in half-bath increments)
- Square Feet (optional)
- Monthly Rent (required, must be a positive dollar amount) and Security Deposit (optional)
- Amenities — check any that apply: Washer/Dryer, Dishwasher, Parking, Air Conditioning, Pet-Friendly, Balcony/Patio, Storage
Furnished units
Flip the Furnished switch to reveal a detailed furnishings checklist grouped by room — Sleeping (bed frames, mattresses, bedding, dressers), Living Room (sofa, coffee table, TV stand, accent chairs, area rugs), Dining (table, chairs), Kitchen (refrigerator, stove/oven, microwave, cookware, dishes, small appliances), Work/Office (desk, desk chair), and Other (window treatments, outdoor furniture, artwork/décor). Whatever you check here shows up on the unit's listing and on any application invite for that unit. Turning Furnished back off clears the furnishings list.
Editing a unit
Every field above can be changed later from the unit's Edit Unit page — bedrooms, bathrooms, square footage, rent, deposit, amenities, and furnished status. Rent must remain a positive amount; VerticalRent blocks the save otherwise.
Unit status and lease linkage
Each unit shows one of four statuses:
- Vacant — no active lease; eligible to be listed for rent
- Occupied — has an active lease, shown with the tenant's name, contact info, and lease dates on the unit page
- Pending — an application is pending on this unit
- Maintenance — flagged as under maintenance
On an occupied unit's detail page you'll see the active lease's monthly rent, deposit, late fee (and grace period), and whether both landlord and tenant have signed. A vacant unit with no active listing shows a List for Rent shortcut straight into creating a vacancy listing; a vacant unit that already has an active listing shows that instead. The unit page also surfaces its five most recent maintenance requests, with priority and status badges, and quick links to generate an AI lease, view maintenance, or view payments.
Bulk importing properties
Starting an import
Next to Add Property on the Properties page, click Import CSV and choose a .csv file from your computer. Each row represents one property, using the same core details you'd enter in the Add Property form (name, address, city, state, ZIP, property type), with optional unit-level details for that property's units. VerticalRent accepts up to 1,000 rows per upload and hands the file off as a background job you'll get a job ID for.
